The best AP automation software for small business, mid-market and enterprise: 13 tools compared on pricing, payments, ERP fit and who checks your invoice data.
Quick answer
The best AP automation software depends on your size: small businesses usually start with BILL, Ramp or Nordflow, mid-market teams look at Tipalti, Stampli, AvidXchange or Yooz, and enterprises shortlist Basware, Esker, Medius or SAP Concur Invoice. If bad invoice data is the real problem, ECIT Digital captures and checks it for you, with 99.8% accuracy guaranteed.
Full disclosure: ECIT Digital is not one of the 13 suites below. We do not sell approvals or supplier payments. We read invoices for companies and deliver checked data into whatever AP software you choose, and one tool on this list, Nordflow, uses ECIT Digital as its capture layer. So we have opinions about the capture step, and you now know about the one connection we have.
Confession: my first AP software shortlist was a spreadsheet with one tab per vendor, and it grew to 47 tabs before I bought anything [scrolls sideways for an hour]. You do not need 47 tabs. You need about four, and this post is here to delete the other 43.
On this page
Here is the whole field on one screen, which is roughly 43 fewer tabs than I needed [closes laptop dramatically]. Every fact comes from the vendor's own website.

AP automation software covers three jobs: capturing invoice data, approving and matching invoices, and paying suppliers. Most suites do all three, but they leave checking the captured data to your own team. That first step decides how much work the other two create.
Think of it this way: a beautiful approval workflow fed the wrong invoice total is just a very efficient way to approve a mistake [approves mistake, efficiently]. Get capture right first, and the rest of the stack stops arguing with you.
For a small business, the best AP automation software is the one that plugs into QuickBooks or Xero, prices per user, and pays suppliers without a project plan. BILL, Ramp and Yooz all fit that brief, and so does Nordflow [puts on small-business hat, it is a baseball cap].
| Pricing | Essentials $49, Team $65, Corporate $89 per user a month, Enterprise custom |
| Capture | OCR on incoming invoices |
| Who checks | You confirm the data before invoices route, per BILL's product page |
| Payments | ACH, virtual card, international wire, check |
| Connects to | QuickBooks, Xero, NetSuite, Sage Intacct, Microsoft Dynamics (higher plans) |
BILL is the default answer for small businesses for a reason: it is simple and it pays people [waves at the default answer]. Read the fine print on its 99% accuracy claim, which covers the most common bills and says results vary by layout.
| Pricing | Free plan, Plus at $15 per user a month plus a platform fee |
| Capture | OCR included on the free plan |
| Who checks | Not published |
| Payments | ACH, same-day ACH, card, check, domestic and international wire |
| Connects to | QuickBooks and Xero on Free, NetSuite and Sage Intacct on Plus |
Ramp's free plan is hard to argue with, and I tried, for about a week [loses argument to a price of zero]. It suits teams that also want cards and expenses in the same place.
| Pricing | Priced by document volume, unlimited users, 15-day trial |
| Capture | Touchless capture, coding and approval |
| Who checks | Not published |
| Payments | Yes |
| Connects to | QuickBooks, Sage, Microsoft Dynamics 365, Acumatica |
Yooz prices by volume instead of by seat, which is lovely if your whole company wants to approve things [invites entire company]. Its calculator runs from 100 to 100,000 invoices a month.
| Built for | Small and medium businesses and the bookkeepers who serve them, with extra support for Danish companies |
| Pricing | Not published |
| Capture | AI invoice reading, with ECIT Digital as the capture layer |
| Who checks | Optional validation by ECIT Digital's team, with a 99.8% accuracy guarantee |
| Approvals | Coding and multi-level approval, in the web portal or the mobile app |
| Payments | Nordpay, which lets Danish companies pay invoices with MitID instead of online banking |
| E-invoices | Received through Nemhandel and Peppol |
| Connects to | e-conomic, Uniconta, Business Central, Visma Business, Fortnox, plus API |
Nordflow is built for small and medium businesses and their bookkeepers, with extra-deep roots in Denmark [practices saying "faktura" in the mirror]. It captures, approves, pays and books invoices in one place, and it matches payments to invoices automatically. Its capture runs on ECIT Digital, and you can add our human validation with the 99.8% accuracy guarantee, so yes, I have a soft spot for it [blushes at own spreadsheet]. Danish teams also get MitID payments and Nemhandel e-invoices on top.
Mid-market teams usually need multi-entity approvals, deeper ERP connections and international payments. Tipalti, Stampli, AvidXchange, Vic.ai and Emburse are built for that middle ground, and most of them quote prices only after a demo [clears calendar for demos].
| Pricing | From $99 a month, unlimited users, per-invoice and per-payment fees extra |
| Capture | Smart Scan, 146 languages |
| Who checks | Not published |
| Payments | ACH, wire, check, card and local methods in 200+ countries |
| Connects to | NetSuite, Sage Intacct, QuickBooks, Business Central, SAP, Xero, plus API |
Tipalti shines when you pay suppliers in lots of countries [spins globe, knocks over coffee]. Ask for the per-invoice and per-payment fees up front, because the monthly price is only the start.
| Pricing | Quote only |
| Capture | "Fully automated invoice capture" |
| Who checks | Not published |
| Payments | Check, ACH, global ACH and wire, virtual cards |
| Connects to | Business Central, Dynamics GP, Oracle Fusion, NetSuite, Sage, SAP, QuickBooks |
Stampli is built around conversations on the invoice itself, so approvers stop emailing "what is this?" into the void [hears void reply]. Its AI assistant, per Stampli, does "on average 89% of the work".
| Pricing | Quote only |
| Capture | AI extraction, header and line items |
| Who checks | "Experts ensure accuracy", not stated whose |
| Payments | Virtual card, AvidPay Direct, mailed checks |
| Connects to | QuickBooks, NetSuite, Microsoft, Sage, Acumatica, Yardi, AppFolio, MRI |
AvidXchange has deep roots in real estate and property software, which is a niche I did not know had so many invoices until I met it [counts property invoices, gives up]. Ask who the "experts" are before you rely on them.
| Pricing | Quote only |
| Capture | Autonomous invoice processing |
| Who checks | Not published |
| Payments | Bill Pay and vendor portal |
| Connects to | Sage Intacct, NetSuite, Oracle Fusion, Workday, SAP S/4HANA, Dynamics GP |
Vic.ai leans hardest on AI of anyone here, and it says so loudly [covers ears politely]. It claims an 85% no-touch rate by month six, so check that number against your own invoices.
| Pricing | Not published |
| Capture | OCR |
| Who checks | Your team, which handles flagged exceptions |
| Payments | Yes, with a vendor payments portal |
| Connects to | SAP Ariba, QuickBooks, Sage, Xero |
Emburse comes from the expenses world and brings AP along with it [carries both, drops neither]. It suits companies that want spend and invoices under one roof.
Enterprise AP automation is about volume, many ERPs and many countries at once. Basware, Esker, Medius and SAP Concur Invoice are built for shared service centers with tens of thousands of invoices a year [straightens tie, borrows a tie].
| Pricing | Quote only, two packages, unlimited users |
| Capture | Medius Capture, included |
| Who checks | Not published |
| Payments | Add-on |
| Claims | "97% auto-match rate on invoice lines", "average go-live in 8-12 weeks" |
Medius is one of the few that publishes a go-live range, which I appreciate as someone who has been told "a few weeks" by many people [checks calendar from last year].
| Pricing | Volume commitment, quote only |
| Capture | SmartPDF |
| Who checks | Not published |
| Payments | Payment authorization |
| Built for | Global organizations with more than 50,000 invoices a year, 250+ ERPs |
Basware is built for big, multi-ERP organizations, and it says so plainly [nods at plain speaking]. It claims "100% accuracy" for SmartPDF, which is a bold number to print, so ask what it covers.
| Pricing | Not published |
| Capture | AI extraction from email, EDI, mail, fax and portals |
| Who checks | Not published |
| Payments | Not described |
| Built for | Large companies and complex finance teams |
Esker accepts invoices by fax, which tells you exactly who it is built for [salutes the fax machine]. It claims 80%+ touchless invoices, again worth testing on your own pile.
| Pricing | Subscription, quote only |
| Capture | AI-powered OCR |
| Who checks | Automatic validation against POs and receipts |
| Payments | Yes |
| Connects to | SAP, NetSuite, QuickBooks, Xero |
If your company already lives in SAP, Concur Invoice is the path of least arguing with IT [waves white flag at IT]. Expect anything from a few weeks to a few months to deploy, by SAP's own estimate.
ECIT Digital is not an AP suite. We capture invoice data, have a person check anything the AI is unsure about, and deliver it into your ERP or AP software with 99.8% accuracy guaranteed. You keep approvals and payments in the tool you choose from the list above.
| What we do | Read every invoice, header and line items, and validate the hard fields with our own team |
| What we do not do | Approvals or supplier payments |
| Pricing | Per document, no license fee |
| Delivers to | NetSuite, SAP, Microsoft, Oracle, Unit4 and others, by API, SFTP or email |
So if your AP suite is great but your team still spends mornings fixing what it read, that is our job, not a reason to switch suites [tidies 47 tabs into one]. Our AP automation software page explains how it plugs in.
Several AP vendors publish capture accuracy claims, measured in different ways. Only one of them is a guarantee, and Nordflow can offer it too through ECIT Digital.
| Vendor | What the vendor says | Guaranteed? |
|---|---|---|
| ECIT Digital | 99.8% accuracy on captured data | Yes |
| Nordflow | 99.8% accuracy with ECIT Digital validation | Yes, with validation |
| BILL | "99% accuracy" on the top 20% of common bills | No |
| Ramp | "99% accuracy" | No |
| Vic.ai | "99% invoice accuracy rate" | No |
| Basware | "100% accuracy" with SmartPDF | No |
| Medius | "97% auto-match rate on invoice lines" | No |
Vendor claims as published on 23 October 2026. Each vendor measures differently.
Notice how BILL's footnote limits its claim to the most common bills. That is honest, and it is also the kind of footnote I would hide under a rug [lifts rug, finds three footnotes].
The quickest way to cut a shortlist is to keep only tools that name your ERP or accounting system on their own website. Here is who names what, which saves you a fun afternoon of reading integration pages [pretends that is fun].
| Your system | Tools on this list that name it |
|---|---|
| QuickBooks | BILL, Ramp, Yooz, Tipalti, Stampli, AvidXchange, Emburse, SAP Concur Invoice |
| Xero | BILL, Ramp, Tipalti, Emburse, SAP Concur Invoice |
| NetSuite | BILL, Ramp, Tipalti, Stampli, AvidXchange, Vic.ai, SAP Concur Invoice |
| Sage Intacct | BILL, Ramp, Tipalti, Stampli, Vic.ai |
| SAP | Tipalti, Stampli, Vic.ai, SAP Concur Invoice |
| Microsoft Dynamics | BILL, Ramp, Tipalti, Stampli, Yooz, Vic.ai, Nordflow |
Based on integrations each vendor names on its own site. Basware, Esker and Medius describe broad ERP coverage without listing names on the pages checked. ECIT Digital connects to any system with an API.
If your ERP is not on a tool's list, ask for a reference customer on that ERP before you sign anything [holds pen, does not sign].
AP automation is worth it for a small business once someone spends hours each week typing invoices into the accounting system. In a 2025 IFOL survey, 66% of AP teams were still keying invoice data in by hand, and free plans like Ramp's make trying it close to risk-free.
If you get ten invoices a month, a spreadsheet and a strong coffee will do [raises coffee]. If you get ten a day, the coffee is no longer enough, and neither, frankly, is the spreadsheet.
AP automation is priced per user, by platform fee plus transaction fees, by invoice volume, or by quote. Per-user pricing suits small teams, while volume pricing suits companies where many people approve invoices.
| Pricing model | Examples | What to watch |
|---|---|---|
| Per user a month | BILL ($49 to $89), Ramp (Free or $15) | Cost grows with every approver |
| Platform fee plus transaction fees | Tipalti (from $99 a month) | Per-invoice and per-payment fees |
| Invoice volume | Yooz, Basware | Commitment levels and overage |
| Per document | ECIT Digital | What counts as one document |
| Quote only | Stampli, AvidXchange, Vic.ai, Medius, Esker, SAP Concur | Setup and implementation fees |
The line item nobody quotes is your own team's time fixing bad data [adds row to spreadsheet, tab 48]. Put it in the comparison anyway.
Shortlist AP automation companies on four things: your ERP, your size, whether you need payments, and who checks the captured data. That usually cuts thirteen tools down to three or four.
In a trial, run the same few hundred of your own invoices through each shortlisted tool, including your worst scans. Score header fields and line items, count invoices that needed no human touch, and time how long each exception takes.
Our guide to the best OCR software for invoice processing goes deeper on testing capture. And yes, the scorecard fits on one tab [weeps with relief].
We sit underneath AP suites every day, which gives us a slightly unfair view of where they struggle [peeks under the suite].

"Construction invoices are complex and highly variable and ECIT provided a flexible and extensible data extraction model that worked wonderfully." - Terence Pua, CEO, Hinges AI
Keep your AP suite, fix the data
We read every invoice, have a person check what the AI is unsure about, and deliver validated data into your ERP or AP software. You pay per document.
As for my 47-tab spreadsheet: it is down to four tabs, one of them is a scorecard, and one is just labeled "snacks" [refuses to delete snacks]. Pick your four, test them on your own invoices, and buy the one that leaves your team the least to fix.

Learn how the ECIT Digital solutions can help you with the help from one of our experts.

It depends on your size. Small businesses usually start with BILL or Ramp, mid-market teams look at Tipalti, Stampli, AvidXchange or Yooz, and enterprises shortlist Basware, Esker, Medius or SAP Concur Invoice. If captured invoice data is the bottleneck, ECIT Digital checks it for you and feeds any of these tools, with 99.8% accuracy guaranteed.
AP automation software handles supplier invoices from arrival to payment. It captures the invoice data, routes invoices for matching and approval, and usually pays suppliers and records the payment in your accounting system.
Published prices range from free plans, such as Ramp's, to per-user plans such as BILL's from $49 per user a month, to platform fees such as Tipalti's from $99 a month plus transaction fees. Many enterprise tools quote only. Add your team's time spent fixing data to compare the real cost.
Small businesses usually choose BILL, Ramp, Yooz or Nordflow, because they connect to common accounting systems, price simply and include supplier payments. Ramp has a free plan, and BILL starts at $49 per user a month. Nordflow can add human validation of invoice data with a 99.8% accuracy guarantee.
Most AP suites do, including BILL, Ramp, Tipalti, Stampli and AvidXchange. Some sell payments as an add-on, such as Medius. Capture-only services such as ECIT Digital deliver checked invoice data and leave approvals and payments to the tools you already use.
It is worth it once someone spends hours each week typing invoices into your accounting system. Free and low-cost plans make it cheap to try. With only a handful of invoices a month, a simple manual process may still be enough.
